Workflow

Workflow lets users program the software to automate certain steps in a process, eliminating much of the drudgework. Through date- or action-triggers, the software activates your custom workflow rules to schedule a re-inspection, add an invoice, or to generate a reminder, email, or letter.

Reminders

Reminders may be added manually or generated through workflow rules. Selected users receive the reminders; clicking "Go" takes those users directly to the record in question.

Letter Generator

Our letter-generation system integrates with Microsoft Word; pull critical data from your Building Department software into a Word document for professional-grade letters. Generated letters are saved as attachments to your database for a proper paper trail. Letter generation can be tied into your workflow as an "action-trigger"; as an example, once a letter is generated, a re-inspection is automatically scheduled. Letters can also be automatically emailed.

Inspector's View

Inspector's View is a specialized view, letting the inspector (or another authorized user):

  • Set up the order of inspections 
  • View past, present, future inspections 
  • Go directly to the property on which the inspection was scheduled (no need to search) 
  • Assign one or more inspections to other inspectors 
  • Change the date of one or more inspections 
  • Complete an Inspection 
  • Print a trip list 
  • Print a schedule

Scheduling Tools

Our flexible appointment scheduler lets you schedule inspection and non-inspection events (vacations, holidays, etc.). Schedule for multiple inspectors from one location.

Flags

Highly visible flags notify other users of important information regarding a property.

Stop Work Orders

Stop Work Orders in the software act just as they do on real properties. Authorized users can restrict all activities from moving ahead until a resolution is reached. Restrictions include: 

  •  Issuance of permits, certificates, and certificates of occupancy 
  • Scheduling of Inspections 
  • Miscellaneous record insertions

The one feature that has made my life easier is the report profiles. I used to print and email each department’s monthly financials. With BS&A’s General Ledger application, I have preset report parameters for each department. At month end, departments select their preset profile and print their own financials. Specialized departmental report profiles have also been setup under other fund accounting applications (Payroll, Timesheets, Cash Receipts).
